LinkApprove LLC (“LinkApprove”, “we”, “us”) operates the affiliate marketing network at linkapprove.com. This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and the rights you have over it.
It applies to publishers, advertisers, and visitors to our website and dashboards. Please read it before using our services. If you do not agree with it, please stop using the service and contact us with any questions.
I. Who We Are

II. Information We Collect
We collect only what we need to run an affiliate network. We do not collect biometric data, facial recognition data, contact lists, calendar entries, camera or microphone input, or precise GPS location.
1. Account information- Name, email address, and password (stored only as a cryptographic hash, never in readable form).
- Optional profile details such as company name, phone number, country, and time zone.
- Communication preferences.
- The websites, apps, or other properties (“channels”) you submit for approval, including their URLs, categories, traffic sources, and approximate audience size.
- Verification data used to confirm you control a channel, such as a verification file or meta tag we ask you to place on the site.
- The campaigns you apply to and the tracking links issued to you.
- Payout method details, such as PayPal address, bank account, or wire transfer details, used solely to pay you.
- Where required by law before we can pay you, tax forms and identity verification documents (for example a W-9, W-8BEN, or government-issued identification). We request these only where a legal or anti-fraud obligation applies, and we do not request them from ordinary site visitors.
- Your earnings ledger, withdrawal requests, and the invoices we generate for them.
- When someone clicks a LinkApprove tracking link, we record the click together with the tracking link identifier, timestamp, referring URL, user agent string, and IP address.
- Approximate geographic location (country and region) derived from the IP address, used for reporting, payout eligibility, and fraud prevention. We do not collect precise or GPS-level location.
- Conversion data reported back to us by advertisers and partner networks, such as order value, commission amount, currency, and status.
- Browser type and version, operating system, device type, screen resolution, and language settings.
- Pages viewed within our dashboards, features used, and error reports, used to diagnose problems and improve the product.
- Log data including IP address, request timestamps, and endpoints accessed, retained for security and abuse prevention.
We do not collect MAC addresses, hardware serial numbers, or other device identifiers that a web browser cannot expose.

III. How We Use Your Information
We use personal information for the following purposes and no others:
- Providing the service: creating and securing your account, reviewing your channel and campaign applications, issuing tracking links, recording clicks and conversions, and displaying your statistics.
- Paying you: calculating your balance, processing withdrawal requests, generating invoices, and meeting tax reporting obligations.
- Fraud prevention and security: detecting invalid traffic, bot activity, self-referrals, duplicate accounts, and abuse of tracking links; investigating suspected breaches of our terms.
- Support and communication: responding to your enquiries, sending service notifications such as approval decisions, payment confirmations, and security alerts.
- Improving the service: analysing aggregate usage to fix bugs, improve performance, and decide what to build.
- Marketing, where permitted: sending you news about programs and features. You can opt out at any time using the unsubscribe link in any marketing email or in your dashboard settings. Opting out does not stop transactional messages such as payment confirmations.
- Legal compliance: complying with applicable law, responding to lawful requests, and enforcing our agreements.
We do not sell your personal information. We do not use it to build advertising profiles, and we do not share it with data brokers.
IV. Connected Social Media Accounts
LinkApprove lets publishers connect social media accounts they own or manage, including Facebook Pages and Instagram professional accounts, so they can publish content from their LinkApprove dashboard.
When you connect a Meta account, we receive from Meta only what is needed to provide this feature: the list of Facebook Pages you manage and any linked Instagram professional account so you can choose where to publish; an access token for the accounts you selected; and basic engagement data for posts published through LinkApprove.
We use this information solely to publish the content you compose and to display performance figures for those posts in your dashboard. We do not sell or rent this information, we do not use it for advertising or audience targeting, and we do not share it with advertisers or affiliate networks. Access tokens are stored encrypted and are never exposed to other users.
You can disconnect an account at any time from your LinkApprove dashboard, or revoke LinkApprove’s access directly in your Facebook settings under Settings → Business Integrations, or in Instagram under Settings → Apps and Websites. Disconnecting ends our access immediately and deletes the stored token. Posts already published to your Page or Instagram account remain on those platforms and can be deleted there.

V. Cookies and Similar Technologies
We use cookies and similar technologies for the following purposes:
- Strictly necessary: keeping you signed in, maintaining your session, and protecting against cross-site request forgery. These cannot be disabled without breaking the service.
- Preferences: remembering your dashboard settings, such as language and table filters.
- Analytics: understanding how our dashboards are used so we can improve them. We use a product analytics provider for this purpose.
- Affiliate tracking: when a visitor clicks a LinkApprove tracking link, a cookie or equivalent identifier may be set so that a resulting sale can be attributed to the correct publisher. This identifier is used for commission attribution only.
Most browsers accept cookies by default. You can block or delete them in your browser settings, and where required by law we will ask for your consent before setting non-essential cookies. Blocking strictly necessary cookies will prevent you from signing in.
VI. How We Share Information
We share personal information only in the circumstances below.
1. Partner affiliate networks and advertisersLinkApprove aggregates campaigns from external affiliate networks and merchants. To attribute a click to a sale and to pay you, we exchange tracking and conversion data with the network or advertiser operating the campaign you promote. This includes the tracking identifier, timestamp, referring domain, and where the network requires it, the IP address and user agent of the click. We share the minimum each partner needs to record and validate a conversion.
2. Service providersWe use third parties to operate the service, each bound by contract to process data only on our instructions:
- Cloud hosting and storage providers.
- Payment and payout processors.
- Email delivery providers, for transactional and notification email.
- Product analytics and error monitoring providers.
- Fraud detection and identity verification providers, where used.
We may disclose personal information where we reasonably believe it is necessary to comply with applicable law, a court order, or a lawful request from a public authority; to enforce our agreements; to investigate suspected fraud or security incidents; or to protect the rights, property, or safety of LinkApprove, our users, or the public.
4. Business transfersIf LinkApprove is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.
5. With your directionWe share information with others where you ask us to, or where you have otherwise consented.
VII. International Transfers
LinkApprove is based in the United States, and our service providers and partner networks operate in a number of countries. If you are located in the European Economic Area, the United Kingdom, or Switzerland, your personal information may be transferred to and processed in the United States and elsewhere.
Where we transfer personal information out of those regions, we rely on appropriate safeguards, including the European Commission’s Standard Contractual Clauses, together with supplementary technical measures such as encryption in transit and at rest. You can request a copy of the safeguards we rely on by emailing [email protected].
VIII. How Long We Keep Information
- Account and channel information: for as long as your account is open, and for up to 24 months after closure to handle disputes and prevent re-registration by banned accounts.
- Click and conversion records: up to 24 months, so commissions can be validated and disputes resolved within typical network reversal windows.
- Payment, invoice, and tax records: at least 7 years, as required by tax and accounting law.
- Connected social account tokens: until you disconnect the account, at which point they are deleted immediately.
- Support and email logs: up to 24 months.
- Security and access logs: up to 12 months.
Where we no longer need information but cannot delete it immediately, for example because it is in a backup, we isolate it and delete it when the backup cycle allows.
IX. How We Protect Your Information
- All traffic to our website and dashboards is encrypted in transit using TLS.
- Passwords are stored as salted cryptographic hashes and are never recoverable, including by our own staff.
- Access tokens for connected social accounts are stored encrypted at rest.
- Access to production data is restricted to staff who need it for their role, and is logged.
- We apply the principle of least privilege, review access periodically, and patch dependencies on a regular schedule.
No online service can be completely secure. Please use a strong, unique password and keep your login credentials confidential. If we become aware of a breach affecting your personal information, we will notify you and the relevant supervisory authorities as required by applicable law.
X. Your Rights
Depending on where you live, you may have some or all of the following rights:
- Access: obtain a copy of the personal information we hold about you.
- Correction: have inaccurate or incomplete information corrected. Most account details can be edited directly in your dashboard.
- Deletion: ask us to delete your personal information, subject to information we must retain for legal or accounting reasons.
- Restriction and objection: ask us to restrict processing, or object to processing based on our legitimate interests.
- Portability: receive your information in a structured, machine-readable format.
- Withdraw consent: where we rely on consent, withdraw it at any time. This does not affect processing carried out before withdrawal.
- Opt out of marketing: unsubscribe from marketing email at any time.
- Non-discrimination: we will not deny service, charge different prices, or provide a lower quality of service because you exercised a privacy right.
If you are in the EEA or UK, we process your personal information on these legal bases: performance of our contract with you (operating your account, issuing links, paying you); compliance with a legal obligation (tax and accounting records); our legitimate interests (fraud prevention, security, improving the service, direct marketing to business contacts); and your consent (non-essential cookies, connecting a social media account). You have the right to lodge a complaint with your local data protection authority.
If you are a California resident, you may request disclosure of the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of third parties we disclose to, and you may request deletion or correction. We do not sell or share personal information for cross-context behavioural advertising as those terms are defined under the CCPA/CPRA.
How to exercise your rightsEmail [email protected] from the address registered to your account, or use the deletion route described in our Data Deletion Instructions. We may ask you to verify your identity before acting on a request. We respond within 30 days, and will tell you if we need more time.
Closing your accountYou can close your account by contacting us. On closure we delete or anonymise your personal information, except records we are required to retain under Section VIII. Any confirmed earnings owed to you remain payable.
XI. Children
Our services are for business use and are not directed to children. You must be at least 18 years old to create a LinkApprove account. We do not knowingly collect personal information from anyone under 18. If we learn that we have, we will delete it promptly. If you believe a minor has provided us with personal information, contact [email protected].
XII. Changes to This Policy
We may update this Privacy Policy as our services change. The date at the top shows when it was last revised. If we make a material change, such as collecting a new category of information or using it for a new purpose, we will notify you by email or through a prominent notice in your dashboard before the change takes effect. Continuing to use the service after a change takes effect means you accept the revised policy.
